Administrative Position, Ottawa-Gatineau

Position Type: Full Time, Permanent

Administrative Skills And Responsibilities

  • Liaise with clients either in person, phone, written communication, etc.
  • Oversee the good function of the daily activities of the firm
  • Receive all in-bound calls, emails, and visitors
  • Prepare, review, and edit correspondence, forms, and other documents
  • Send and receive messages
  • Provide administrative support to all team members
  • Sort, file, and retrieve documents according to established filing systems
  • Sort, process, and verify applications, receipts, and other documents
  • Maintain records of filed and removed materials
  • Perform basic bookkeeping tasks such as preparing invoices and bank deposits
  • Provide information to clients and public
  • Photocopy and collate documents for distribution, mailing and filing
  • Review, evaluate and implement new administrative procedures
  • Establish work priorities and ensure procedures are followed and deadlines are met
  • Invoicing clients and following up on payment
  • Assemble data and prepare periodic and special reports, manuals, and correspondence

Other duties will be assigned as required

Education And Experience

  • 2 years of relevant experience or a diploma/degree with an administrative focus (required) 
  • Experience with project management software (required)
  • Experience with Microsoft Office (required)
  • Experience with tax and accounting software (asset)
  • Bilingual with working proficiency in English and French (preferred)
